Now employers can renew contracts
and job descriptions online
This year, for the first time, employers can quickly and easily renew their State Work Study contracts and
job descriptions online.
Participating employers across the state are receiving information about the online process with this
newsletter, including tips on how to log in to the system and what to do if the business name or federal
identification number has changed.
Another improvement will enable employers to fill out all State Work Study forms online and print them to
mail to the college where the SWS students are emolled. Signatures are still required on these forms, so
they must be printed and sent to the institution for approvaL

Five tips for employers to get quicker
reimbursements
State Work Study director
Betty Gebhardt says
employers can ensure they
receive their reimbursements
as soon as possible from the
HECB by paying special
attention to details that are
often overlooked:
1. Timesheets: Make sure
the timesheet is signed
and dated in ink by the
student and employer on
or after the last day
worked. Timesheets
should be submitted
within 15 days of the end
of the payroll period.
2. Check the dates: Make
sure the- first and last
days worked don't
overlap with a previously
paid timesheet.
Employers who identify
hours that will overlap
should contact the student
employee's college for
the correct procedure to
address this issue.
3. Gross compensation:
Total hours worked
multiplied by the hourly
wage equals gross
compensation.
4. Payroll deductions: Make
sure that ALL applicable
state and federal payroll
deductions, such as Social
Security, Medicare and
others, are indicated on
the timesheet.
5. Receive reimbursements
electronically: To receive
reimbursement even more
quickly, contact the Office
of Financial Management
by logging onto their Web
site to request a Statewide
Vendor Number. It's quick
and easy and will enable you
to receive reimbursements
electronically. Here's the
link: www.ofm.wa.gov/
accounting/vendors.htm

Most employers get to know
one or two State Work Study
(SWS) students really well.
Did you ever wonder what all
the rest of the program's 9,000
students look like?
Their average age is 23, and
almost two-thirds are women.
Nine of every 10 SWS
students are undergraduates,
with the remainder enrolled in
graduate and professional programs.
They attend 56 two-year and four-
year colleges and universities across
the state.
Just under half are dependent on
their families for financial support,
and those families have an average
income of $40,000 per year. More
than half are independent and have
average incomes of $12,830 per year.
Most work on-campus, and just over
40 percent work for off-campus
employers.
Interesting fact:
Each year, state taxpayers provide
$17 million for the State Work
Study program. Employers contribute
another $5 million in the form of
wages paid to students. The
employers' share enables the program
to serve 2,000 additional students.
Tony Froehlich, who oversees 35 to 40 students in his
job as SWS coordinator at Fred Hutchinson Cancer
Research Center in Seattle, has become a big
supporter of the program.
"State Work Study is a no-brainer," he says. "We
get smart, driven employees with fresh ideas. We
have several permanent lab aides and techs who
started here as SWS students. Our commitment to
providing career building work experiences clearly
benefits everyone involved."
Come on Tony, there must be headaches in
overseeing the program, right?
"The biggest headache is the tracking of student
funding and hours. I'd like to see an incentive
developed for students to share responsibility with us
for tracking hours and funding," Tony says. That way,
students would be better able to plan ahead as they near
the end of their funded employment.
Tony also recommends employers use the student
earnings worksheet provided by the HECB.
The SWS students at Fred Hutch work in both office
and laboratory settings. The research center works
with all of the public and private, two-year and four-
year colleges in the Seattle area.
Governor proclaims\Student Employment Month
ByJirpS~lton, Executive Director of the Higher Education Coordinating Board
Last year, more than 9,000 Washington college
students put their skills and energy to work for about
3,000 employers in our state - gaining valuable work
experience and earning money for college.
Washington's State Work Study program helps
thousands oflow- to middle-income students pursue
their educational goal-So, and they are often able to
work in their chosen field of study.
For more than 30 years, State Work Study has
provided an excellent way for Washington employers
to "preview" the human talent in our state's colleges
and universities, while enabling them to reap the
rewards from highly motivated workers who receive
on-the-job training.
o
At the same time, SWS employers provide a
valuable link between the higher education community
and the state's economy, which is one of the goals of
Washington's 2004 Strategic Master Plan for Higher
Education. This sort of partnership is one of the best
ways to ensure that today's students will be prepared
for tomorrow's careers.
Recognizing the many benefits of the program,
Gov. Christine Gregoire officially proclaimed April
as "Student Employment Month." The members and
staff of the HECB would like to join the governor
in acknowledging the role employers play in this
important program and to offer our sincere thanks ,
for your continued commitment.
