HomeMy WebLinkAbout2006 Audit Report Conference Center 2Ad -Hoc Committee Meeting regarding the Conference Center was held
at 1:00 P.M. on June 25, 2004 in the City Council Conference Room.
Those in attendance : Gary Sexton, Economic Development Director;
Gary Nystul, City Auditor; Council Member Will Maupin, Fiscal and
Budget Committee Chairman; Council Member Mike Short, Audit
Committee Chairman; and Council Member Carol Arends, Liaison to
Economic Development and Meeting Facilitator.
The theme of the meeting was `Come Let Us Reason Together" and
the purpose of the meeting was to address questions asked during a
previous Council Meeting regarding the Conference Center as well as
methods used for change orders.
Questions were addressed as follows:
1) How to handle change orders: The BMC is specific on this issue.
Legal requirements need to be met.
2) There is a draft agenda bill for action in July. After review,
Auditor Nystul was of the opinion that part one of the proposed
motion was all that was needed. Part two could be eliminated.
3) The Conference Center is a special project and the fountain is a
part of it. It is almost finished now. Auditor Nystul furnished a
Conference Center Budget Computation, June 2004. The
determination was that while a different process was used by the
Economic Development Department than the Finance
Department, the numbers came out the same.
4) The Committee members all received copies of Purchasing
Procedures from the BMC. We also received a Conference
Center budget worksheet.
5) Consensus was that communications are frequently a problem
and city departments should try for a better understanding of
mutual issues.
The meeting was concluded at 2:00 P.M. with a general feeling that
the meeting went well and was harmonious with a meeting of the
minds.
