SUMMARY: Currently Community Development has approximately 35,000 large plan sheets stored
at the City's Olympus facility that must be relocated, preserved, indexed and ideally made
electronically available. Consulting, advising and training for the indexing and retrieval system was
one of many criteria considered in the bidding and selection process. ARC Document Solutions was
the most responsible bidder for this project and comes with a wide range of experience in
governmental records management. .

FISCAL IMPACTS (Include Budgeted Amount): $38,500. This amount is available in the existing
2016 Community Development Professional Services budget. No additional funding is required.

RECOMMENDED MOTION:
Move to accept the Professional Service's Agreement with ARC Document Solutions to digitally
convert and index large plan sheets; and authorize the Mayor to finalize and execute the agreement
with substantially the same terms and conditions as presented.
