Technologies quote for Upgrade to Microsoft COUNCIL MEETING Date: March 16, 2016

SUMMARY: The City is currently standardized on the Microsoft Office 365 Productivity suite. During
Phase 1, the City acquired 100 licenses in 2015 to begin the migration to this technology. Phase 2
consists of acquiring an additional 150 licenses to upgrade in 2016. Accordingly, we need to 1)
Renew the annual license for the Phase 1 licenses purchased last year, and; 2)Acquire the
additional 150 licenses. With this purchase, our annual license count will be at 250, qualifying the
City for a volume discount to $15.23 per license per month for a total cost of$45,690 plus tax.

FISCAL IMPACTS (Include Budgeted Amount): This is an anticipated 2016 expenditure and funds
have been set aside in the 2016 budget.

RECOMMENDED MOTION:
Move to accept Planet Technologies quote for the purpose of renewing 100 Office 365 licenses and
purchasing an additional 150 licenses for Microsoft Office 365 in the amount of$49,665.03; and
authorize the Mayor to finalize and execute the agreement with substantially the same terms and
conditions as presented.
