SUBJECT: Microsoft Windows licensing Study Session Date: September 10, 2014

SUMMARY: Information Technology is currently standardized on the Windows 2012 server
Operating System (OS). This purchase will secure the requisite licenses to operate these new servers.
It will also bring our Client Access Licenses (CALs) up to the latest version and provide for server
and CAL license upgrade protection.
The total contract price for these licenses will be $28,014.92 payable over 3 years. The first year's
installment will be $8,566.34. Second and third year payments will be $9,724.29 each year.
These purchases are made under the terms of the Microsoft Select Agreement number 6013310 from
the contract specified retailer CompuCom. It will cover all City computers and servers except for the
Wastewater plant servers/computers and those servers/computers managed under P party contract.
FISCAL IMPACT: There are sufficient funds budget in 2014 to cover the initial cost of$8,566.34. In
anticipation of contract, the Information Technology 2015 budget submission has included sufficient
funds for year 2 expenses.

RECOMMENDED MOTION: Move to accept the CompuCom quote for the purpose of upgrading the
City's Microsoft Licensing to current versions in the amount of$28,014.92 and authorize the Mayor
to finalize and execute the purchase agreement with substantially the same terms and conditions as
presented.
