SUBJECT: Upgrade to the City's Financial Study Session Date 1/23/2013

SUMMARY: The Financial Management system currently in use by the City of Bremerton has been
in place since 2006 Upgrading this software to the latest release will allow for staff to operate with
more efficiency by taking advantage of the current technology It will also allow the City to take
advantage of the improvements to software functionally accumulated over the past 6 years In
addition to upgrading our existing software, Financial Services is adding a Work Flow module that will
help the City move to a more paperless environment as well as upgrading the Cognos report writing
system to improve its security presence and functionality
Since this product is on annual maintenance, there aren't any software licensing costs associated
with upgrading the baseline system to the latest version The two quotes cover the ancillary costs
associated with performing this mayor software upgrade as well as the costs associated with bringing
in the Workflow module and the CognosWeb report writing module

Original contract (3/01 -MA023 dated June 28,2001) between Sungard- Pentamation and the City of
Bremerton
FISCAL IMPACTS (Include Budgeted Amount) The total cost of these 2 quotes is $51,389 00 and
is included in the Information Technology 2013 budget

RECOMMENDED MOTION:
Move to accept Sungard quote #1 in the amount of $22,764 00 and to accept Sungard quote #2 in
the amount of $28,625 00 and approve amendments to the contract dated June 21, 2001 between
the City of Bremerton and Sungard- Pentamation and authorize the Mayor to finalize and execute the
amendments with substantially the same terms and conditions as presented
