SUMMARY: The City is seeking approval to extend the current contracts with A -1 Performance, Inc
for janitorial services for City facilities These contracts are negotiated by the State, including annual
inflation adjustments when warranted (there have been no inflation increases for 2012 or 2013) This
arrangement has worked well for the City and reduces our administrative overhead in acquiring
janitorial services The department requests approval to exercise the 1 -year option for these
contracts, and in addition, requests authority for the Director to authorize four (4) additional one year
extensions, for a total of five (5) one (1) year extensions
The following are the locations of the contracts for each site and their annual cost
#5085 —100 Oyster Bay — $12,858 95 per year
#5084 —1025 Burwell — $16,619 62 per year
#5079 — 3029 Olympus Dr - $1,505 33 per year
#5080 — 3027 Olympus Dr - $11,113 59 per year
#5081 — 550 Park Ave — $17,662 17 per year
#5082 — 7266 Tibardis Road — $1,623 62 per year
#5083 — 911 Park Ave - $2,700 28 per year

FISCAL IMPACTS (Include Budgeted Amount) Total annual cost of all seven contracts is
$64,083 56 per year This amount is included in the 2012 (and 2013 preliminary) budgets

RECOMMENDED MOTION: Move to approve the City's option to extend the contracts with A -1
Performance, Inc for janitorial services for an additional one (1) year term and further authorize the
Director of Public Works and Utilities to approve four (4) additional one (1) year extensions at his or
her discretion for a total of extensions not to exceed five (5) extensions
