SUMMARY: The lease contracts for 7 Kyocera Mita copiers in Public Works will come to the end of
their 5 -year lease this year (4 in March, 1 in May and 2 in September) We will be replacing these
units with 5 multifunction Xerox copiers The Xerox units will have similar or better performance than
the machines they are replacing The Engineering machine replacement will be a color copier
allowing them to retire two old and slow color printers that are very expensive to operate The Xerox
machines will be acquired using Washington State Contract #03706 This replacement program will
save approximately $132,000 in lease payments for the 5 -year lease period over what is being paid
currently In addition there will be a saving in operation and maintenance anticipated to be at least
$12,000 for the same period
The 5 -year lease costs for the Xerox equipment will be approximately $37,500

FISCAL IMPACTS (Include Budgeted Amount) Budgeted expenditures for copying /printing will be
reduced for 2012 Copying /printing costs will be significantly lower in the out years

RECOMMENDED MOTION:
Move to approve the replacement of 7 Kyocera Mita copiers with 5 Xerox multifunction copiers
subject to the pricing, terms and conditions of the Washington State Contract #03706 and authorize
the Mayor to purchase the copiers
